Privacy policy

CallCatchr is an AI receptionist that answers missed calls for businesses, takes the caller's details and books jobs into the business's calendar. This policy explains what information we collect, why, who we share it with and the choices you have.

Who we are

CallCatchr is operated by Anthony Dam, ABN 29 305 414 570, based in Victoria, Australia ("we", "us"). You can contact us about privacy at contact@callcatchr.com.

This policy covers businesses that sign up to CallCatchr ("customers"), their team members, and people who call a customer and speak to the AI receptionist ("callers").

What we collect

From customers and their team

  • Account details: your name, business name, email address and password (stored securely, never readable by us).
  • Business setup: business type, services and prices you choose to enter, service area, opening hours, time zone, urgent job policy and how the AI should greet callers.
  • Phones: the names and phone numbers of team members whose missed calls you send to CallCatchr.
  • Calendar connection details, if you connect a calendar (see "Google and Microsoft calendar data" below).
  • Billing details, once billing is available. Card details are handled by our payment provider, Stripe. We never see or store your full card number.
  • Basic technical information needed to keep you logged in and the service secure, such as login cookies and server logs.

From callers

  • The phone number they called from, and the details they give the AI: name, callback number, address, the job, how urgent it is and when suits them.
  • A summary and transcript of the call. Calls may be recorded if the business turns recording on; the AI tells every caller at the start of the call that it is an AI assistant and that the call may be recorded.

Google and Microsoft calendar data

Customers can connect a Google Calendar or Microsoft Outlook calendar for each team member, so the AI can book jobs into free time. Connecting is optional and can be undone at any time.

What we access

  • Google Calendar: we ask for permission to see when you are busy (free/busy) and to create events. We only read busy and free times, not the titles, descriptions or attendees of your existing events. We also read your Google account email address so you can see which account is connected.
  • Microsoft Outlook: we ask for permission to read and write calendars, sign in and stay connected. We only read the start time, end time and busy status of your events, not their titles or contents, plus your account email address.

How we use it

  • To work out free times inside your opening hours and booking rules, and offer them to callers.
  • To create a calendar event for each job the AI books, containing the job details the caller gave.
  • To show you, in your dashboard, which calendar is connected and the next free times.

We do not use calendar data for anything else. In particular, we do not:

  • sell it or share it with anyone except as needed to provide the service;
  • use it for advertising;
  • use it to train or improve AI or machine learning models;
  • let any person read it, unless you ask us to for support, it is needed for security, or the law requires it.

CallCatchr's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

How we store it and how to remove it

The keys that let us access your calendar are encrypted before they are stored. When you click Disconnect in CallCatchr, we delete them straight away (and for Google, also cancel the access with Google). You can also remove access at any time from your Google account permissions or your Microsoft account permissions. Events we created stay in your calendar until you delete them.

How we use information

  • To answer missed calls for our customers, collect the caller's details and book or pass on the job.
  • To send customers job summaries and to send callers confirmation messages about their booking or callback.
  • To run customer accounts, billing, support and usage limits.
  • To keep the service secure and prevent abuse, such as spam calls.
  • To meet our legal obligations.

We do not sell personal information. We do not use callers' or customers' information to train AI models.

Who we share it with

We use trusted service providers to run CallCatchr. They only process information on our behalf to provide their service:

  • Supabase: database and logins (stored in Sydney, Australia).
  • Vercel: website hosting.
  • Vapi: the voice AI that speaks with callers.
  • Anthropic: the AI model that powers the conversation, through Vapi.
  • Twilio: phone numbers and text messages.
  • Google and Microsoft: only if you connect their calendars.
  • Stripe: payments, once billing is available.
  • An email provider for job summary emails, once that is available.

Caller details are shared with the business the caller rang, because that is the point of the call. We may also share information if the law requires it, or to protect people's safety.

Information sent overseas

Some of our providers are based in, or process information in, the United States and other countries. We choose providers that protect information to a standard similar to Australian privacy law.

Callers: your information belongs with the business you called

When you call a business that uses CallCatchr, we handle your details on that business's behalf. If you want to see, correct or delete what you told the AI, you can contact the business directly or email us at contact@callcatchr.com and we will help.

How long we keep it

  • Account and business setup details: while the account is open, and deleted within 30 days after it is closed.
  • Call details, summaries and transcripts: while the account is open, unless the business deletes them sooner.
  • Call recordings: only if the business turns recording on, and only for as long as the business chooses.
  • Calendar access keys: until the calendar is disconnected or the account is closed.
  • Billing records: as long as tax law requires (in Australia, usually 5 years).

How we protect it

Information is sent over encrypted connections. Each business can only see its own data, enforced inside the database itself. Calendar access keys are encrypted at rest. Only the minimum number of people can access our systems, and only when needed.

Your choices and rights

  • You can see and change most of your information in your dashboard.
  • You can ask us for a copy of your information, to correct it, or to delete it, by emailing contact@callcatchr.com.
  • You can disconnect calendars at any time.

If you are unhappy with how we have handled your information, please tell us first and we will try to fix it. If you are in Australia and still unhappy, you can complain to the Office of the Australian Information Commissioner.

Changes to this policy

If we make an important change, we will update the date at the top and let customers know by email or in the dashboard.
